What is Spellbook Associate

Spellbook's Associate is a web application designed to streamline multi-document workflows. It enables users to easily compare documents, update templates using reference materials, and ask questions across multiple documents simultaneously. In short, Associate is a powerful web-based tool for managing and working with multiple legal or business documents at once.


Spellbook Word Add-In vs Associate

The Spellbook Word Add-In is designed for single-document workflows, making it ideal for reviewing, redlining, and drafting individual documents. Use it when you need to mark up a contract, flag risks, or generate new clauses from scratch.

Spellbook’s Associate app, on the other hand, is built for multi-document tasks. It's best suited for comparing documents, revising templates based on reference materials, or analyzing multiple documents at once. Associate is not intended for drafting new content from scratch—that’s where the Word Add-In excels.

How to Use Spellbook Associate - An Overview

1. There are two ways to access Associate:

Once you have access, sign in to your Spellbook account. Here's how to get signed-up if you aren't already.

2. Once signed in, you can start uploading the files you'd like to work with in Associate by clicking on "Add Files." You can upload as many document as you like, but we recommend starting with 2-5 for best results.

Note - Spellbook Associate can edit and revise Word Documents only, but can reference and read Word documents, PDFs and .txt files.

3. Once you have your files uploaded, you can start typing your prompt in the textbox to tell it what you'd like it to do. Type your instructions in plain language like you would with an Assistant you're asking to start a project for you.

There are several different use cases for Associate, including:
1) Revise a template document based on reference documents
2) Compare multiple documents and flag differences or changes
3) Ask questions about multiple documents at once


Revising a template document based on reference documents

6. To revise or edit a document template based on reference documents, upload the template document (as a Word file) and any reference documents you like. Then type in the instructions to revise the template document based on the reference documents.

Spellbook will then give you an overview of how it plans to do these tasks and if you're happy with it, you can tell it to start the work and it will begin to make the edits.

4. Click on the arrow key to start the project.

5. For any document revisions, a Start button will be provided for you to begin said revisions.
Note: A Start button must be provided and clicked on for the revisions to begin.

6. Click on the Start button to begin revisions.

7. A circle will pop up next to the document that is being revised. A yellow circle indicates that the revisions are in progress, and it will turn green once revisions are complete.

8. You can click into the document that's being revised to see the changes happening in real time.

9. Click on the "Show Changes" icon on the top right to view the redline changes.

10. A column will open on the right-hand side, where you can see a list of all the redlines.
Clicking on "Show" will jump to the portion of the document where that redline has been applied.

11. In this menu, you can also accept or reject the redlines.

12. You can also wait until all redlines have finished processing to download the entire document with the redline changes.

13. The drop-down box next to your document name will allow you to see the different versions of your document. You can switch through previous iterations of your document, if needed.


Comparing two or more documents (to flag the changes or differences)

14. To compare two or more documents, start a new project and upload the files you'd like to compare.

Enter in your prompt in the textbox.

15. Click start.

16. Spellbook will then give you a summary of the changes.


​You can have an ongoing conversation with Spellbook Associate to ask it to provide more details or provide concise summaries of the changes. Simply type in your instructions or feedback and Spellbook will respond appropriately.

17. If you want to add a document to a project for additional reference, click Add File and upload any additional documents you need.

18. Upload the documents you'd like to work with.

19. Enter in the questions you'd like to ask about your documents, and then click on start.

20. Spellbook will review all the documents uploaded and give you answers.
